Short description
The Administrative Assistant/Receptionist will be responsible for supporting the Office Manager to ensure the smooth running of a dynamic and growing office.


Tasks and Responsibilities:

Reception Duties

  • Welcoming guests and external stakeholders to the office
  • Answering switchboard and transferring call accordingly
  • Providing reception cover

Office Admin Duties

  • Booking couriers for staff
  • Carrying out morning routine
  • Setting up/clearing up meeting rooms, scheduling audio conference calls and meetings
  • Providing refreshments for meetings as and when required
  • Managing the meeting rooms and reception area to ensure effective use by staff and visitors
  • Ordering stationery and other office supplies
  • Maintaining and replenishing stock levels
  • Sorting and distributing post
  • Ensuring the office is a welcoming, safe and tidy environment
  • Supporting with other tasks as time allows and as directed by the Office Manager
  • Supporting colleagues with office administrative queries and processes
  • Helping with the sourcing and selecting of service providers and suppliers
  • Helping with health and safety procedures as instructed
  • Assisting with all pre-event preparation and providing support on the day as and when required
  • Providing administrative support to other teams on an ad hoc basis

Training provided

  • Qualification:  Business Administration Apprenticeship
  • Level: 2
  • Duration: 12 months
  • Course Type: Apprenticeship Framework

Apprenticeship Delivery: Work based qualification. A tutor will visit you every 4-6 weeks in your work place.


Units Covered:
The programme is spread across 12 months and typically covers 15 units with the option to take on extra stretch and challenge units if desired. These units are split into 3 themes which complement each other and create a better learning experience:

  1. Communication in Business
  2. Administrative Services and Functions
  3. Working in Business Teams

The programme will also require the apprentice to cover Employee Rights and Responsibilities (ERR) and Personal Learning and Thinking Skills (PLTS)

Functional Skills: 
Apprentices also work towards a Level 2 qualification in English and maths in the first half of the programme if they have no prior exemption (GCSE’sA – C or equivalents in English and Maths).


Skills required

  • Interest in Business Admin
  • Ability to multi task
  • Able to maintain discretion in handling sensitive and confidential information
  • Excellent computer skills, particularly MS Office


Qualifications required

  • GCSEs A-C in English and Mathematics or equivalent (Level 1 in Key Skills or Functional Skills)
