Vacancy Description: 

This role is to provide Administration support to the Xerox Contract Lifecycle Team. A Contract Lifecycle team is essential for any organisation to manage a successful Business to Business Relationship. The team manage contracts and all relating information such as supplier information, contract renewal and analysing data.

Duties include: 

  • Responsible for ensuring contract data is kept aligned across all systems (e.g.. Mercury , Pro finance etc)
  • Responsible for updating and resolving external queries including feedback.
  • Action and amend queries from the Quality Management System/Query Management System
  • Undertake data validation/reconciliation activity when required.
  • Providing support to different areas of the team such as the Billing Specialist, data provision, reconciliations, analysis etc
  • Work with the Contract and Billing specialist to ensure billing reports are pulled daily.
  • Support the Contract and Billing specialist to produce weekly and monthly reports.
  • Regular sampling of credit notes & providing support to internal and external auditors
  • Involvement in process improvement activity and projects
  • Undertake ad hoc and planned query reporting
  • Raising and signing off external requests using different systems.


Future prospects:

The Xerox Apprenticeship programme develops individuals into specialist or entry management roles. 


Things to consider:

  • This will be offered as a 3.5 year contract. Working towards level 3 in Business and Administration with a view to progress onto a level 4 in Business and Administration.
  • Salary of £16,000 rising to £23,000 over 3.5 years if performance milestones are met

Internal Training

  • The Xerox Apprenticeship provides a wide range of additional support to Apprentices. This includes self-awareness, mentoring, business knowledge growth and additional support as required. 


Qualifications Required:​

  • Minimum 5 GCSE’s A*-C or equivalent (including Maths and English)
  • 2 A-Levels or equivalent (willing to consider individuals who have not gained the qualification but have evidence of self-teaching with a desire to learn)

Apprenticeship Delivery: Work based qualification. A tutor will visit you every 4-6 weeks in your work place.


Units Covered:

The Apprenticeship programme is made up of different units.  Apprentices will be assessed on their knowledge, skills and behaviours throughout the apprenticeship and tracked online using an e-portfolio.


These are grouped into 3 themes which complement each other and are as follows:

Core Business & Administration
Managing Self & Personal Skills
Using Resources & Achieving Results.



After each theme is complete, a Mock End Point Assessment is carried out to ensure apprentices are prepared for the End Point Assessment at the end of the programme.
After a minimum of 372 days and successful delivery of the programme, the end point assessment will take place. The end-point assessment is a synoptic assessment of the skills, behaviours and knowledge that have been developed throughout the apprenticeship.
End-Point Assessments will involve an independent assessor carrying out final assessments with the apprentice, to ensure that the competences and learning within the ‘Apprenticeship Standard’ have been met. 
Apprentices can achieve a pass, merit or distinction dependent on how well they perform in their End-Point Assessment.

Functional Skills: 

Apprentices also work towards a Level 2 qualification in English and maths in the first half of the programme if they have no prior exemption (GCSE’s  A – C or equivalents in English and Maths).
